Welcome, everybody And thank you for attending today. Today's topic is about garden center software. So this is Windward System five it's Garden Center software and we're just going to start rolling right into the content here.
0:30
All right, when we're software it makes business management software for the horticulture industry been added since 19 84.
0:37
And we're located in, kicked in British Columbia, we primarily Service North America, but we have an international reach, have hundreds of clients running Winward system five to help them run their business.
0:50
We're trusted by 40 and backed by 40 years of experience.
0:59
Again, we make, we make business management software for shops just like yours. And Winward System five on Cloud is the business management software for your garden center, nursery or landscape supply shop.
1:11
Think of it as the hub of everything that's important to the business since all of the parts of your software connected, the main features are: point of sale inventory control, service management, and integrated accounting.
1:26
Today your presenter is going to be Peter Tompkins. Is a business developer with Windows software. And he's, he's been around for the last six years.
1:34
It previously was one of our business business business analyst and he's done a number of jobs within within Woodward software.
1:45
So, Peter wants to go ahead and take it away for us.
1:50
Excel.
2:00
All right, so Kyle, you can see my screen, OK.
2:05
Yep, you're coming through, OK, all right, well welcome everybody, thanks for joining us today, As Kyle mentioned, yeah, we've been around for 40 years then.
2:15
We love working with garden centers.
2:17
I'm going to really focus in on some of the key features that I found that garden centers like to use with our software.
2:24
So, diving right in, I'll just point out that I do have a lot maybe a menu right now, this is customizable, is customizable by user.
2:33
So, depending on the User Security is you set up, you can see different menu items here.
2:38
Now, we do have our menu navigator on this screen, but I also can get rid of that.
2:43
I can use a drop-down menu, or one of the best ways to really navigate to where it is is use these quick buttons at the top.
2:51
Again, you can customize them per user so that each each person can really focus in and streamline their activities well within Windward.
3:01
So, with garden centers, a big part of the focus that I find is around the point of sale and inventory management.
3:08
So, I'm going to talk a lot about that today And we're going to start off with a quick sales screen.
3:13
one of the challenges that I find with our customers is they also have big lineups. They need to move quickly through their sales and get that high volume sales turnover quickly.
3:23
So, quick sales screen.
3:25
Now, click on my Quick Sale button on the top of my Banner.
3:30
It's designed to do just that it's compatible with a Quick with a touchscreen but I'm using my mouse today.
3:36
So there's a number of different ways that we can get items onto An invoice.
3:40
Of course, if you have a barcode scanner, you can go ahead and scan those items.
3:45
I'm just going to type it in or paste in a barcode to simulate that, when you type that in, you can see it brings up the item, I can bring up that same item, number of different ways, If I know the part number, I can search by a partial part number, and it will return any parts that that reflect that partial part number.
4:06
It can also do the same thing with a description.
4:10
So, typing in partial description is going to return any of the items that belong to that.
4:18
Now, of course, if you need to do a more in-depth search, pull up our Find item window.
4:23
And you can search by all sorts of different ways, by supplier, by brand, by description, it even search by things, special attributes such as maybe.
4:35
All right.
4:38
A botanical name.
4:39
So I'll dive into an inventory record here, in a couple of minutes, and show you a little bit more how we could set that up.
4:46
As you can see, we can even set it up so that we display chemical name in our part bind window.
4:52
Another feature I'll just point out at this point is that you might have multi locations with your garden center are no different areas where you're storing your plans, or you can actually have visibility into your inventory quantities in those different locations.
5:06
So I have six quantity available at my current location.
5:09
But across all my departments, I can see that we actually have 16.
5:13
So that makes it easier, so you can make sure you satisfy your customers with all the inventory that you have in stock.
5:21
All right.
5:22
So we showed a few ways of how we can get items onto an invoice by either scanning or or manually typing, or searching for the items, Well, one of the powers of this quick screen, menu squids, quick screen sale, It's actually the buttons. So you'll notice there's a number of buttons along the top, the bottom, as well as the stack.
5:43
Now these are customizable. You can change the look and feel of these, the color, and even the functionality or the behavior of them.
5:51
So let's go through a few of the buttons here, and we can talk about what they do.
5:57
So for instance, if I click on our shrubs button, it's gonna pull up category of my shrubs.
6:02
Again, I can select Individual ID double thick or hit OK just like individual items, or I can use my multi select button on the far left, and choose multiple items at one time.
6:15
In this case, one of the items this five gallon skyrocket, juniper, it has a sale's comment on it.
6:22
At least sales comments are used to communicate something to our clerk.
6:26
In this case, we're recommending a certain fertilizer that goes with this product.
6:33
Another one of our items has a discounted by do it, so if you buy six or more, we get 10% off or by 12, and where we get 20% off.
6:41
These discounts can be set up as part of the inventory record, or through our promotions module.
6:51
If we click on our Buildings plant, Bedding plants button, you can also see that we can link it directly to a group of items, so it's something other secondary menu that are directly linked to these items.
7:03
So if I choose these items, they put them directly onto the invoice.
7:10
Now, if you have a item that you sell quite frequently, maybe you want to make that button available on the main screen.
7:16
So, for instance, I can sell this Article, roes tests, with a click of a button I click it more than once. Of course, it's going to increase the quantity available.
7:27
Now, I mentioned that you know, one of the ones that the needs of our customers just move through these high volume lineups quickly and so we can easily take payment at this point.
7:42
And now if you're connected to we can integrate with payment processors. Or if you want to have a standalone processor, you can do that as well.
7:49
In this case, I'm just going to select my payment and painful bite at it and it's just that simple click payment.
7:58
Now, I chose to bring up our print screen here to select which invoice to print off.
8:04
You can automate this process.
8:06
If you're doing, you know, quick sales, you may want to automate it, so it automatically prints to this small slit printer.
8:12
But you can also choose to print to a full-sized country as well.
8:18
Again, you can automate this and even choose what kind of invoices to print based on what kind of invoice you're you're using.
8:26
So, let's go ahead and let's take a look at one of our invoices.
8:32
In this case we have a full-sized invoice.
8:34
We chose two provide some comments from the inventory items.
8:41
And you can see the sale information at the bottom, and it passes applied, Total Payment.
8:51
Now once we close that invoice, notice that we come right back into that Click Sales screen. Again, this is the ease, the burden on the sales clerk to just get right into the next sale.
9:02
Let's take a look at a couple more buttons.
9:05
So we'll click on our fertilizer bags button.
9:07
You can notice here that we don't just need to have buttons with weights. We can actually have images associated with the product, too.
9:14
So, we can add, I'm going to choose a different one that will talk about credit when you're out of stock in a moment.
9:22
But we can choose these buttons to just click on them and you can see it just adds the invoice.
9:28
Couple other items that I'll show you here is our pond kit, So another useful feature for garden centers and groceries is actually bundle or kit items together.
9:38
So in this case, we have a Starter kit available.
9:41
Let me click that started on Kit.
9:43
You can see that ads start upon Kit as the main item and then it indicates the children item.
9:51
Children items are the products that are actually bundled into that kit.
9:56
Now, you might notice that you're getting a pond liner, three quarter hoes, and a pump.
10:01
But the pricing is actually associated to the top line, so you can configure your bundles or your kits in various ways.
10:09
And this one is allow you to set the price with the kit so you can actually give a better price by the bundle posted by the individual parts.
10:19
Another interesting feature that we have it weird is when you're starting dope Bulk product, you can actually sell by different units of measure.
10:26
So what I mean by that, if we choose to sell some bulk bark mulch, we'll get our unit to measure screen appeared.
10:35
Now, in this case, I have it set up, cell by icon, by cubic yard, or by square foot.
10:41
So, if our customer chooses to buy two cubic yards of the product, I can enter that value and against their cubic yards and you can see, it calculates the other volumes for you.
10:58
Of course, if you need to provide any services, any labor, or installation services, you can also add those here. You can even track your technician time, and your labor hours, and run reports on that.
11:12
That's the last button I want to show here is our promo items.
11:16
So, personal items, of course, as it sounds, this is a way for you easily to group together items that you want the reading promotions or sales on, But the reason why I want to show this one is what, you're going to see a couple of things.
11:29
You can see the image, we're going to see of words as well associated with the buttons.
11:34
So, really, when I click on this, we're going to show you power of our model.
11:40
So, again, this as a inventory record has a sale's comment on it.
11:45
And this is communicating to you, our sales back from our management team.
11:50
But they've created a modifier against this product, so you can design your own ....
11:55
It comes with a 20, $20 assembly fee.
11:59
When we hit OK, it clear the sales department.
12:03
We can see the modifiers kick in.
12:05
The first thing it's asking us, is choose one of the following.
12:08
Which type of ... do we want to select?
12:11
So let's use our glass terrarium with light bulb.
12:15
And then the next option is asking us to select one or more.
12:18
What kinds of materials do we want to put into the terrarium?
12:22
Let's go ahead and use some of this potting Soil.
12:26
Next options is for plants.
12:28
Again, we can choose multiple plans in this case.
12:34
Lastly, do we want to add any accessories to actual area?
12:39
Sure, Let's put some aggregate slices in there.
12:44
Then, finally, it's going to summarize our choices and ask us to confirm our pages.
12:51
Let me hit OK, it's going to add everything to our invoice.
13:02
It's, alright, So, shown you a couple of different ways to add products onto the invoice and a quick sales screen.
13:10
And also alluded to what, what will you going to do in an event that, well, first, was to take our payment year, We complete this sale.
13:23
Pay in cash finishes up.
13:27
Bypass or invoice for a moment?
13:33
Sometimes we might have a larger project, or where customers come in and they want to purchase some items, maybe they want to pick them up at a later date or hasn't delivered.
13:42
Perhaps you don't have all the items in stock. And you need to order these items.
13:46
So, let's go through a process like that.
13:49
Now, it could also be the case where you might have a membership program or some sort of club level, or you just want to keep track of your customers.
13:57
So I want to point out that we can add a customer to our quick sale, as well.
14:01
So, in this case, we're going to search our customer by name. You can also search by phone number or partial phone number.
14:08
You can do also saved by e-mail, all sorts of different options here.
14:15
I have my life there, John, so as soon as I start typing, it's going to return all my customers that actually criteria.
14:21
In this case, Pamela Brown is the customer I'm looking for.
14:32
Excuse me, couple of screens here, Let's pull that backup area. Alright, so they have Pamela Brown added to our invoice.
14:41
Now, Pamela Brown, she actually has a price schedule. So she's going to receive some preferred pricing.
14:48
He's part of our club membership, So let's add a gene of your item to her.
14:57
Tour invoice.
15:00
And we can see. There we go. We'll add it on.
15:04
I'll just show you by right clicking here.
15:06
Now, I have permissions to see this information. I can see the different price levels.
15:10
So at a glance, I can see that this regularly list prices, 88, 95, But for our club members, it's 84 50.
15:19
As you can see, I have a number of different price schedules setup for other types of price levels. Maybe contractors, your staff, can have up to 99 different price schedule. So really, you can create as many as you need to satisfy your business.
15:38
In this case, we're not going to sleep disorder today, I'm going to flip it over to a work order. So it's not going to be a completed cash sale.
15:48
And part of the reason is is because I know she wants some product that we don't have in stock, he wants to buy some of our fertilizer. There it is.
15:57
So, in this case, I'm going to highlight our special order option.
16:04
Of course, we can present a number of different ways We can turn these options on or off so that they're not presented, if we choose that.
16:12
We can choose a regular back order, or the option, I'm going to highlight today's special, special orders, like back order, but it's a stronger version of it.
16:20
It's going to tie the purchasing requests to this invoice and to this customer.
16:26
So when I click on Special Order, we're gonna get our Special Order popup screen, and here I can choose the amount they want to request. Let's say she wants five bags.
16:36
I can just simply queue the order.
16:38
I can also choose to add any comments here.
16:41
So, if it is a specific comment that I need to pass on to my supplier here, the person at the point of sale can make that comment. Actually, get carried over to our purchaser entered the purchase order.
16:54
We can also choose to apply it to the invoice, so that our customer, Pamela Brown, can see it as well.
17:01
Mccue, the new special order, we can see that it appears in the grid. Now this is especially useful, Pamela calls us up.
17:07
Ask us what status of your order?
17:11
You can see currently, that's not on appeal. Of course, I just put it on.
17:14
But if we did have our purchaser had sent this off, you would see that the status change due to accent.
17:20
Or if that product is come in, it would say that the PO has been received.
17:25
If we purchase this product before and received a pin, we might have an expected date based on our previous shipment, or if the, the supplier gives us an expected date, we can also enter that in.
17:38
So, this is a handy way to communicate to our customer right from the invoice.
17:45
OK, Now I'm going to close off this invoice.
17:51
Are you an exit off now? I could I could print this invoice offer for Panama.
17:56
I'm going to actually exit this without printing today.
18:01
We're going to pull up one more invoice.
18:03
Now, one other common scenario I see with our, with our customers is that, they might, again, have this long line of customers that they're trying to process and, and get through.
18:17
And the customer at the front has added a number of items.
18:20
But in this process, they've realized that they've forgotten something.
18:25
And they need to actually ask you to put this tail on hold while they go and find this other item in your store.
18:33
It can be quite time consuming. And a lot of times, you prefer just to keep moving through the line.
18:39
So we have the ability, what we call the invoice parking lot, to park this invoice, and then pick it up with that customer returns again.
18:47
So I'm going to go ahead, I'm going to hit that P for parking lot, and it's going to parse that invoice for me.
18:54
And now I can continue with the next customer.
18:57
Now we'll revisit that in a moment, and I'll show you how to pull that back up, But I'm gonna take this opportunity now to jump into the inventory record and show us a little bit more.
19:07
So, we can actually access the inventory records right from this screen.
19:13
If we want, we can exit out of our Quick Sales screen and enter into the added item.
19:21
navigation or part fine navigation screen.
19:24
So, as I mentioned before, there's a number of different ways that we can search for items.
19:28
Part number, description in botanical name, didn't even look at things from zones, or height, or width.
19:36
And you can customize these fields to suit your needs.
19:41
You can also look at our subcategory menu, and you can actually search through your different categories of product.
19:49
So let's go take a look at sandbar products here.
19:55
Actually, gonna go look at our juniors.
20:01
Oops.
20:05
Number.
20:06
It's a description.
20:09
There we go.
20:11
So, if we enter into one of our junipers, We can see a lot of information displayed on our initial page. Now, this page is purposeful for that reason. It's going to give you a snapshot of the site.
20:26
So, we have certain things like a part number as well, maybe the supplier as a different part number for ordering.
20:33
You'll also notice here that we have some are customizable fields for zone, height, and width.
20:41
Of course, we have a cost at this price as well.
20:46
I want to highlight our high and low feature, so restocking your inventory.
20:51
We might want to work on highs and lows or mins and maxes.
20:56
So, if you fall below your low, it's going to re-order to your high.
21:00
Oops, I think.
21:03
There we go.
21:04
Sorry.
21:06
So, the way this works is, we also have it set up your seasons.
21:08
Of course, many garden centers have seasons where they want to order things for the spring.
21:14
Maybe they're not even open during winter, so this allows you to set highs and lows for different periods of your business.
21:21
By double click onto our high here, we can actually open up and see how we have that setup.
21:28
So, for our winter, we're going to have, that's set up quite correctly. Of course, you want your load to be higher or lower than your high, but if you look at our screen, we have a low of 25, 25.
21:40
So if we fall below 20, you know Spring months, then it's going to ask us to re-order after 25.
21:51
All right.
21:52
So one of the other things I'll point out on our inventory record is we can come over to our Retail tab.
21:57
Here, we can see our different price levels.
22:00
So I mentioned before, how you can add a list price, cloud, and more preferred pricing levels.
22:06
You can set these up in a different number of different ways. Inset map isn't margin from landed cost or from cost.
22:13
We also set up as a fixed price, or a lot of the other price schedules are going to be set up as a discount from your list price.
22:22
You can also set up sale pricing so that when you put in sale dates, the sale pricing automatically comes into effect.
22:30
As well as if you want to have quantity discounts, you can set those up as well.
22:40
I told you that I should show you a little bit how we can set up some of our more detailed information, like or technical name.
22:49
So here, I came over to our comment section. This is the same area where you can put that sales, where an inner upsell that you saw pop up during the point of sale.
22:57
You do the same idea for purchasing. So if there's something important that you need to communicate to your purchaser, you can also make a comment there.
23:06
Going to focus on our free forum names.
23:09
And here, you can actually define the headings.
23:10
So I can choose, create my own headings here that are going to be concentrate consistent across all of my products.
23:22
And then on the right hand side is going to have the variable information that's unique to each product.
23:28
So you can see there's a number of different pieces of information that I have in here.
23:33
one of the Paris Winward is that we can actually, we integrate well with a number of different label printers including label printers that have waterproof abilities and uh, and you can print different sizes, labels.
23:47
So similar to our invoice way, you can design your own forms. You can also design your own labels.
23:54
Let's take a look at a couple.
23:56
So, I can choose a smaller version of my Label.
24:02
And I'm going to preview it for us here.
24:05
Can choose how many labels we want to print, in this case, is defaulting to how many labels are out, how much quantity I have the product.
24:12
Let's go take a look at this.
24:14
So, there we go.
24:14
So, this would be like a shelf label.
24:17
So, maybe if you have this product on a shelf or in a smaller tag, this is what you might want to see.
24:24
Now, I talked a little bit about using barcodes before system five you also generate barcodes or close course. If you product comes with the barcode, you can load that against the item as well.
24:35
So on this label, we can see the basic information.
24:38
The part number, the name that we've given it, the botanical name.
24:42
We can also see things like growth habit, hardiness, etcetera.
24:45
So you can really design these labels to suit your needs and what you want to communicate to your customers.
24:53
Now, if you also want to print, for instance, a larger label, something that, uh, maybe he's on a larger tag, you can also choose that option.
25:04
And in this case, you can see that we're including something like a picture that would be more appropriate for a large tag, and the price is quite a bit bigger.
25:16
Course, we sell that barcode handy.
25:20
Now, maybe I'll take a moment here.
25:23
I mentioned, this barcode may be useful to have on your tag if you have a larger yard and you're walking around, Woodward also has a product Other, Woodbridge Psychic.
25:36
And I'll demonstrate that very briefly at home today.
25:39
Let us bring it over.
25:40
So, this can be used on any device, anywhere, as long as you have connectivity to the Internet.
25:47
So, it work on your phone, tablet, or computer, like I'm using today.
25:58
OK, that is needed to login.
26:00
So the power of the psyche is we can do a number of things. We can use it for part find, and we can look up parts on the fly.
26:08
We also do build orders. So I'll start by, again, we can type in a partial part number, description and it's going to return the product. In this case, I typed in Yeti. It's going to bring in a number of these Yeti mugs or yeti products.
26:26
We can easily start adding this to an order.
26:29
So, if you're walking around with a customer, I'm thinking, if you're walking around in your yard, maybe far away from a computer or till, you're creating a custom project or accustom invoice for your customer, we can actually start adding these items to an invoice.
26:46
Now, you can also see that same information if we go over to our order builder and we can see the same type of functionality.
26:52
Again, you can even look at the information for the product, product.
26:57
We can see other descriptions. We can see different pricing levels, et cetera. You can even see the products image.
27:06
This also is compatible with barcode scanning so you can scan those items while you're walking around those yds going back to our tag there and when everything is complete, you can submit this order and send it in to your To your Woodbridge system, fine.
27:26
Now, when that order can be imported in at the point of sale, so your customer can then just easily go up to the till, and their order is ready to be picked up or to be paid.
27:39
All right.
27:42
So jumping back to our demonstration.
27:47
This was our inventory record.
27:49
And also pointing out that we have the ability to integrate with with your e-commerce site as well, so SME, e-commerce integration options.
27:59
Easily we can just turn this button on and export this out to our website.
28:03
So we can communicate this product to R Customers online.
28:17
OK, so, we've talked about Point of Sale. I didn't mention that we have we have that item that's in the parking lot. So I'm just going to jump back for a moment, and show you how we can easily pull that up.
28:30
So, a customer use at RTL.
28:35
He had a bunch of products, but he realized he forgot something, and you want to go back. So, part is invoice.
28:41
Now, he's come back with his additional product, and we can easily pull up our invoice parking lot.
28:47
We can see the items or the invoices that we're still there, and now we can unpack that invoice.
28:58
And we can start to interact with it.
29:01
So we can add another item, and you might notice the screen looks a little bit different.
29:05
As I mentioned before, we were on the quick Sales screen which is especially useful for that high volume customers, But this is going to be our full invoice screen.
29:15
We have a few more options, certainly we can explore these in more detail. If you're interested, you can always contact us.
29:21
We'd be happy to jump into another demo, but in this case, let's just finish up.
29:28
This invoice, let's say you want some more fertilizer, you can come in sectors, fertilizer and you can complete the payment.
29:38
Now again, this is a cache tag sale, so it doesn't need a customer, but we can certainly add one if we needed to.
29:46
And we can complete that sale.
29:54
I'll choose a different invoice type this time. We see another design.
29:59
Here, we can actually see the customer as well if we added to the, to the invoice, to see where they shipped to.
30:09
OK, so we've talked a little bit about our sales, are quite a bit about Sales and we talked a bit about inventory records.
30:15
Let's talk a little bit about purchasing.
30:19
So I'm going to highlight are required or to report. That was a few different ways you can do purchasing and, you know, every business has been different and Woodward is very versatile and allows you to do the same thing in different ways.
30:32
So you can create a new purchase order for a certain supplier and start filling it out.
30:39
Know, in some some Garden Centers, they don't even start that way, because they don't always know exactly what they're going to receive nursery. So you can even jump right to a receiving report without even creating a purchase order and start receiving the product in.
30:52
What I'm going to show you today is the required orders report.
30:57
Required orders report.
30:58
It's actually going to look at all your inventory in stock, highs and lows.
31:03
Or, you can actually look over a sales over previous period, so I talked about highs and lows and how you can set up seasonally.
31:10
But if you're not setting highs and lows, maybe you just want to look at a previous period sales.
31:15
It could be hey, what did I sell last week? I need to restock.
31:19
Or you might want to look at last year what you purchased for the Spring season.
31:23
So you just easily start, select your start and end dates.
31:26
So, we want to see what we purchased last February.
31:31
We could enter that in and run the report and see everything that bursary that we sold last season, so that we can purchase this This February, or this upcoming Spring season.
31:46
All right, what I'm going to show today, though, is our Highs and Lows.
31:52
As well as it's going to look at things like our special order that we set up earlier.
31:59
So if I click our View button, you'll notice that it's populated a number of tabs here along the top.
32:07
Now these tabs are free, different suppliers that have purchase order needs.
32:12
So, in this case, if we look at our first one, we have Grandpa's wieder based on our highs and lows.
32:20
We need to order what are these products?
32:23
We also have a number of special orders for this product, that we can see as well. You can actually look at the details and see who requires this order.
32:31
In this case we have green gate landscaping our customer, we can see what invoice number there have been assigned.
32:39
We can also see the supply and the supplier and the quantity required.
32:47
As you go through, we can see all the different number of items or even see.
32:52
Here's our juniper that we special order today and we can easily identify, it's a special order because it has an SO in front of it.
33:00
So again, here's Pamela Brown, Here's your invoice number, and we can see that she has ordered five these items.
33:10
If I have many items on my list, I can easily toggle on and off the items I want to want to order.
33:16
And from a click the button to come up to our create POs button.
33:20
And I can choose to create all of these purchase orders in one shot, or I can just create this individual purchase order for the supplier lines nursery.
33:36
So, I'm going to go ahead and create that pitchy started, and we can see here, that has brought the product onto our purchase order, created this Purchase order for us.
33:47
You can see the product. We can see our cost.
33:49
It's populated the five quantity that she's requested, and it's extended that $34 cost into our $172 in 87 total.
34:01
We also get notice, if I hover over this item, it's going to put in that comment that I wrote against the invoice when I had the special order part that come up.
34:13
Now, if you want, you can continue to add items to this invoice.
34:17
Again, by typing in a barcode, part number description, or you can even go through our part window.
34:25
one of our other great features here is if you have an order ongoing.
34:29
Lot of time, businesses will create a purchase order, And they'll continue to fill it up over the course of a week or a period of time, and then send it off, when it is time to send it at the end of the week, or when it's reached, maybe a certain dollar amount, so they can get a discount, or free shipping.
34:46
So, our Orders tab allows you to come back to invoices that are already in progress or have not been sent, that are pending.
34:54
And you can see any special orders that are available.
34:57
You can also look at items, special ordered items that maybe are from other other suppliers. Maybe this supplier also carries that product.
35:08
Or, you can actually go into our Suggested Orders tab and you get almost like the required orders report, the same kind of functionality.
35:17
You can see what your highs and lows are.
35:19
Or you can look at sales from a previous period, and generate a list, and add it to your order.
35:26
Finally, you can also list all the parts on for the supplier, and you can look to see what you have available and if you want to order it.
35:36
So, currently, I can see, I can even toggle that if I click on the top row here, I'm out of stock on this item.
35:43
So I can choose two.
35:46
Let's order for more of these.
35:48
And again, I can toggle these on or off, select which ones, click the button.
35:53
I can add the Suggested orders, two My Purchase order.
35:57
There we go.
35:58
So I have four of these skyrocket junipers now for our special order for Pandora.
36:06
Then I also have sorry, five for gamma, at four more that I want to put into regular stock.
36:14
Simply send that off in the system by taking the Send button.
36:19
If I e-mail it to my supplier, I can choose to e-mail it.
36:24
This case, I'll just go ahead and do a preview of the purchase order.
36:28
And, again, this design form designer can be customized.
36:33
So, it has the look and feel that you want and you can see here that we have our special order information, we can choose to print this information for the customer.
36:42
If you're doing a dropshipping straight from your suppliers, you might want to include the customer name and address some specific information potentially of how to find that, that customer's address.
36:54
Or if maybe you just want to include the supplier comments that are specific for that purchase order.
37:07
OK, So When it is time to receive that, that, that product, we can imagine some time it's gone by.
37:15
You can pull up our purchase orders, we can see that at a state recent pull up all my recent purchase purchase orders, but of course, you can search by status, supplier, or purchase order number.
37:27
You may notice here along the side that we get different statuses, a meaning active, meaning that the purchase order has been sent, see, is it's been completed.
37:38
P I don't have any here, but if there is a P, that means that the purchase order has been started. That is pending, has not been sent yet.
37:45
It's also a B type purchase order, and that's a back order purchase order.
37:50
Oftentimes, if your supplier is short items, it's not unusual in the garden, center, and nursery industry.
37:59
They, those products might not all count that you've ordered.
38:03
So you can actually put them, choose to put them on back order, or you can clear the backwaters too. But if that supplier is going to satisfy your request, then you can actually put those products and back order and come back in and receive it at a different time.
38:17
Let's go ahead and receive this purchase order that we set up today.
38:23
So, you can see, the way I have it set up is, I have it set up so that my received quantity will equal my ordered quantity.
38:30
Now, I can use a, I can have this set up to zero, and use a barcode scanner to scan the items as they come in so that, you know, the people in my warehouse are actually counting these, and I'm going to verify the amount that I ordered.
38:44
If I have any freight charges at this point, I can choose to add those on.
38:48
one nice feature about this is if we have a $100 freight and we add that to the landed cost of our items, we can type it in at the top here.
38:57
And when we click tab or Enter, it's going to ask us how we want to distribute that freight cost.
39:03
It gets the items by cost, by quantity, or by unit, unit of measurements, weight.
39:13
Now, that's it, by cost.
39:15
And you'll notice it is distributing that cost appropriately across the cross. Is that these items at the same price, So, of course, the same distribution.
39:28
Alright, Let's receive these products in.
39:30
Now, again, before I do, this may be an important time to print those labels.
39:34
So, it might want to print those labels for our inventory records.
39:38
We can also print special ordered labels as well so that we can segregate or stage the items in our warehouse or our yard can be picked up by that customer.
39:52
We can enter in our packing or receiving slip, the invoice that we received from our supplier.
39:58
Hit receipt.
40:00
Now, again, this might be a good time to print some that special order information.
40:05
It's might be useful for the people in the yard or the warehouse so that they can see that again. These items actually are a special order for Pamela Brown and need to be staged as such.
40:23
OK.
40:26
Being cognizant of time here.
40:28
A couple other things that I wanted to touch on today, is, you know, woodward's System five is more than just point of sale and inventory management.
40:39
As Kyle mentioned at the beginning of our presentation, we also provide accounting and extensive reporting options as well.
40:48
So I'll point out one of our reports here.
40:51
As you can see, if I open up our report menu, we do have a number of different types of reports, we go under Sales Reports.
40:59
See all sorts of different types of reports that are available to you.
41:04
Now, what am I favorite reports? And we also have this search button at the bottom to help you easily find things.
41:11
And I also mentioned, of course, if it's something that you frequently use, you can customize your ribbon at the top and make those reports handy.
41:18
We also even have lists, so you can run daily or monthly or yearly tasks, but I'm going to go ahead and jump into my Stock Management report.
41:29
This stock management report is kind of, it's quite nice.
41:31
It's going to show me all my products where you can, you know, segregated by supplier category, but what you're going to see is you're gonna see your quantity. You're gonna see what you've sold over the past one in this case.
41:43
You're gonna see Lifetime Sales, you'll see the last, if you have anything on order, last received.
41:49
So, we're gonna really give you a snapshot of the product information.
41:55
You can even set up things like your highs and lows here and here.
42:00
And you can even choose to maybe delete this product if it's a product that is a slow Louvre, and you don't want to order it anymore, you can market for deletion. So that you still sell the product that you have in stock.
42:12
But it's not going to suggest that you order it in the future.
42:22
You can see there's a few options here. We clear the highs and lows, or you can even set highs and lows.
42:32
OK, the other item I just want to point out briefly is going to be a county side.
42:39
So, we do have a full accounting suite.
42:42
We have this little chart of accounts.
42:44
You can run again, a number of different reports from Trial Balance, balance sheet, income statements, pack's reports.
42:56
And I'm gonna talk a little bit about Gil Entry here.
42:59
So, I'm going to go up to my.
43:01
But before, I do also mentioned that for our customers, if you do do accounts receivable.
43:07
You can also run your ...
43:11
and produce statements, an e-mail those out to your, your larger customers that you provide, maybe a credit limit, too.
43:17
Or, I guess, in accounts receivable.
43:21
Now, for accounts Payable Erbil entry, we can enter in our bills.
43:28
And we can simply enter them in as they come.
43:31
But I want to show you how we can tie them to purchase orders.
43:35
Now we can run a report to, to see what purchase orders have been associated to bills.
43:41
I'm just going to pull up our customer here, and science, nursery.
43:46
Let's pull that one in, OK?
43:51
So for that Purchase Hotel just made today, if we will see that bill from Hinds Nurseries we can actually go find the purchase order that is associated to it.
44:04
So in this case, going to be this top one, February 22nd.
44:07
We can see the Packing slip that was entered in at the time of receiving.
44:13
We can see the total cost as well as landed us. So we know that there is great involved.
44:18
Now, we can choose to just bring it over the wholesale amount, that might be important if you want to expense the freight.
44:24
Or, in this case, we're going to include the freight as well because we want it to be a landed cost. Social stock can be expensed. It's going to be associated to our inventory asked ledger.
44:36
So, we're gonna choose Frates, of course, if there's any duty or extra costs we run.
44:42
Those on potentially, or we can choose to add those on, Then we can add it as all items separately, or as a summary.
44:50
Click the Run button there.
44:55
Again, yos add items.
45:03
Let's try that one last time. I think it lost my selection.
45:08
There we go.
45:10
OK, so make sure you select your PO and add all items. Now I chose to add them individually. So it's given me one line and it's going to actually say what the product is.
45:22
Now you might recall it was the same inventory items to those five and for quantity of combined, to give us nine, the juniper sky two gallon inventory items.
45:33
Then you also notice that freight here is coming in as a separate line item.
45:37
Now, the Inventory line item, at the top, this is a placeholder for the Summary line, so you can easily just delete that or leave it on at zero. Doesn't really matter.
45:45
And you also notice the ledgers here that are posted.
45:48
So if you decided to expense this ledger, you do that as well.
45:52
I just double click to open it up on my list of ledger's.
45:54
I can scroll down to my expense, ledger's and find the appropriate.
46:02
I'm sure there's one in here, four for for freight. Oh, there we go.
46:08
And it gets that F rate. There we go. And the amount.
46:12
Now of course, you want to enter your bill number, maybe give it a description.
46:19
Et cetera.
46:20
Dates do all of those great things. And of course most importantly, you want to save and post that bill to your ledgers.
46:30
Of course we are going to support you and paying those bills as well.
46:34
So you can run your, your, your checks ready and in print all sorts of information there and satisfy your payments as well.
46:44
Even have a check designer that you can print off your checks if that is something you do.
46:52
Now at this time I'm going to wrap up the demo portion of the presentation, and I'm going to hand it back over to Kyle.
47:05
All right, thanks, Peter.
47:08
And as you can see, there's a, there's a lot to the system and we also have add ons to the system. You saw in the demonstration we do have the System, five sidekick.
47:18
It's especially useful in Garden Centers, really allows you to have the information that you need, literally at your fingertips when you're away from your computer.
47:26
With its part, find an Order Building function.
47:28
System five sidekick is perfect for the following tasks, line busting, checking item details from anywhere you can catch a signal.
47:37
Building an order, Well, you're with a customer, or you can check even item availability, when you're on a customer's jobsite, for some of those folks that do installs.
47:51
Yeah, you can even check stock levels while you're at the garden center show before you commit to making a purchase.
47:56
So our clients really get creative with how they use the solutions that we build. So we're sure there's many, many, more use cases out there.
48:07
The other add-on we have is, when we're intelligence reporting, it's kinda like a sale's KPI dashboard that's available for you to keep track of how business is going.
48:18
This is above and beyond what's already.
48:21
They're already a powerful reporting, it's inside of system five.
48:26
Some of the standard reports that are included are sales by category, gross margins by landed cost.
48:31
Sales by salesperson is particularly useful for analyzing salesperson's performance.
48:37
Then we've got some top tens in there, customer analysis, supplier analysis, and even sales by region, which actually puts your sales onto a map, see where you are.
48:47
Top zip codes are you maybe you want to send a mailer out to a certain zip code or something like that.
48:54
Then, of course, if you're looking for e-commerce options, we recommend .... ... is an integration to Windward System five and a web cart so, you can basically sync all of your your plants and other parts right into your website, your website.
49:11
Then, it basically allows you to have one data source and it keeps your e-commerce site current with your current quantities on hand.
49:21
You can handle your web orders in the same way that you process your in-store transactions.
49:28
So.
49:31
This point, just kinda going over what was covered in the, in the demonstration today, that, of course, there is the basics of the point of sale, covered, purchasing, fulfillment, and then we also covered some of the extras.
49:44
We're kinda running out of time, so let's just get right to Q&A, if there's anything out there.
49:49
We'll give this a couple of minutes to see if you have any questions to ask us, and then we can go from there.
50:02
Peter, do you have any other additional content for about next couple of minutes, because it doesn't look like we have much in the way, question is just yet?
50:14
Yeah, as well, Like you mentioned, there's, there's always more to show here.
50:19
I can certainly jump into a couple other pieces, but only, why don't we jump into a customer record here for a moment And we'll just take a tour of that last five minutes.
50:29
You can see my screen again.
50:32
Wonderful, OK, so from our customer record, we've already talked a little bit both Defined Screen and how we can look up these these different customers.
50:44
Let's, let's pick on Pamela Brown a little bit more.
50:46
Now, one of the nice things about our customer record of, of course, you know, as I mentioned, you can capture the basic information. You can give them the account numbers. We also support appoints programs. We talked a little bit about promotions very briefly, The number of different promotions you can use. You can also actually use gift cards. So if the payment processor supports gift cards, and that's something that we can use, and we can load those gift cards, but we can even print gift certificates or gift certificates, and generate those gift cards in house.
51:19
So, I did want to point out, I, Financial tab here is where you set up your different price schedules for a customer.
51:25
You know, you can also set up any of those things, take charge.
51:28
If they're a charge account, any interest rates, if they're tax exempt type customer, you can also manage that.
51:35
But one of the points that I wanted to highlight here was our invoices and purchases.
51:41
Now, when that customer comes into your store, they may have purchased something with you in the past.
51:48
It's easy to go, and you can look up current or past purchases for the customer, but you can actually go.
51:54
And you can duplicate these, so if they want to purchase that same thing that, you know, repeat that purchase, again, you can do that.
52:01
Maybe that's especially useful for our student contractors.
52:06
But we can take it one step further and we can actually go down to the line items.
52:10
So Pamela comes back in and she says, Hey, what was that juniper that I purchased back on the first of February? Well, you can go ahead, you can find that, You could say she wants to more, is, of course, you want to group those in three and just have an even number.
52:28
And she wants to purchase those again.
52:30
Now, from here, we can easily add this to a new invoice, or if she has an open invoice that's in progress, we can do that as well.
52:42
Now, I'm going to put it on a new invoice, and this is.
52:47
And, actually, I'm going to show you from our quick sales screen instead.
52:54
I'm going to show you one other.
52:58
one other feature here that I didn't quite catch on today, and that's because there wasn't a question that did come in since you're kind of in-between things there.
53:09
The question was, can you adjust settings to the Australian metric system and beat system to day, month, year instead? I guess that's. I do know that, in Australia, there's also a tax inclusive features as well.
53:24
That's right, absolutely. We have, we have many Australian customers, and that is something we can certainly do.
53:32
So we can change different different metrics, as you mentioned, as well as the date stamp. And Cal, you're right, you can also make our tax inclusive.
53:41
In North America, we 10. Well, our taxes tends to be exclusive. So our prices are stated, tax exclusive typically, and then we add tax on it, the point of sale.
53:53
Australian customers taxes it actually inclusive, so when they post their pricing, it needs to be inclusive of their at their taxes. So, yes, we, we absolutely can satisfy that.
54:07
All right. Thank you.
54:09
Absolutely. Now, one thing I did want to point out too is returns.
54:14
So returns are common or it can become an index, the garden industry, and the nursery industry.
54:22
And oftentimes, well, the nice thing that we have the dire return feature is that we actually have A the ability to identify what kind of return it was.
54:33
So, you know, maybe the plant died, maybe it was the wrong type of plant.
54:37
And as a result, you want to treat that return different.
54:39
If the dead plant, you're going to write that plant off, you're not going to get back into stock, whereas, if it's the wrong client, well, you want to put that back into stock and, and sell them the right.
54:51
So, depending on which option return, you choose for the return, it's going to treat that return differently.
54:57
And you might also notice that we have a putting up option here, too.
55:00
Of course, hopefully your clients are growing, and if you have stock, that, it has turned into a different item, because it's actually growed, it has grown.
55:10
Well, you can use our putting up feature, so that you can replant that pot, larger pot.
55:17
Then also account for all the products that you've used, whether it's a soil, container, those kinds of things, and posted appropriately to your alleges.
55:28
Kyle, is there any other questions? I know we're tight on time here, and I don't want to eat up, heat up that.
55:33
But I'll walk through this process.
55:35
In the meantime. Yeah. So there was just a question about the deletion of items that are out of stock or old. I think that's an easy thing to show, but there may be more to that story, but the committee show the mark, something as deleted, that's no longer being sold.
55:56
Absolutely.

Perfect. I'll cancel out this feature in process, but I will point out that it's actually showing us past invoices as well. That pamela's purchases product. And so we make sure that we're accounting for properly. Yeah, let's jump into Into that real quick.
56:12
So, I'm just going to go from my actually, from within an invoice, I can click on item details. It's gonna show me a snapshot of that information. You talked about different locations. I can see more information about that, as well as the product. I can actually have the right permissions, edit this product as well.
56:29
So, from this, from this screen.
56:32
And there's a number of different ways that we can mark items for deletion.
56:35
But, simply, from the inventory record, we could just click Mark them to make deleted.
56:40
Now, we talked about earlier that if we have quantity, or in this case we might even have it on a purchase order or an invoice today, we're not going to remove that product completely from the software. You still want to run reports, you still want to be able to report on that product.
56:55
So effectively, what this is going to do, this is going to hide the product.
57:00
We're going to markets a deletion still there.
57:03
But now it's going to not be available for when your salespeople, and that's this quantity, because, of course, you want to sell that quantity.
57:11
It's not gonna be available for your salespeople to see in reference or for your purchasers to purchase.
57:17
And, of course, if they do type in the exact part number and managed to find it, they're gonna get a popup warning saying this product has been merged to delete for deletion.
57:28
Hope that answers the question there, Kyle.
57:32
I think that's about as deep as we can go into that topic on this, on this, webinar, So, we'll, we'll leave it at that.
57:42
